Role Purpose

The Office Manager is responsible for organizing and coordinating office operations, procedures, supervise office staff and ensure organizational effectiveness and efficiency.

Responsibilities

· Maintains office services and efficiency.

· Organizes day to day office operations, filing and maintaining office records.

· Maintains positive working relationships with senior management and employees.

· Responsible for the overall administration including SRM procurement system, visas for employees and general support operations.

· Partner with HR to maintain office policies as necessary.

· Manages relationships with vendors, suppliers, service providers, and landlord, ensuring that all services are invoiced and paid on time.

· Ensures that confidential and sensitive business information is protected.

· Manages and oversees the office and reception functions to ensure they operate professionally, efficiently and effectively.

· Liaises with central team and facilities management vendors to ensure the smooth operations of all outsourced facilities management services such as maintenance, security, catering, travel, insurance, etc.

· Responsible for the facility management including rent contract, security, access cards, office furniture, bills, couriers etc.

· Ensures the provision of cost-effective, timely and quality administration services.

· Works closely with head of finance to manage bank accounts, issuing POs, coding all vendor payments, stringers / offline payments and AMEX payments.

· Works closely with management in resolving inter-office disputes.

· Involves in special projects specific to business unit / department.

· Manages office team including executive assistants, receptionist, office administrator and office boys and evaluate performance.

· Responsible for budget tracking and financial reporting.

Qualifications

· Minimum 5 years’ experience as office manager in a multinational organisation.

· Experienced in handling a wide range of administrative and executive support related tasks including HR, facility operations, accounting, marketing and customer service.

· Organizational skills and an ability to quickly build rapport, as well as be a good decision-maker, problem solver, multi-tasker.

· Open minded to speak firmly and decisively.

· Open to feedback, willingness to take responsibility.

· Strong communication skills and enjoy the administrative challenges of supporting an office of diverse people.
